Find more focus and growth with these some simple changes to your office set up.

When you are busy and managing too many things, your workspace usually takes the hit. Tossing things where they don't belong, not remembering what you need to do next, or creating more manual tasks that hold you back from progress.

If your workspace lacks systems and feels disorganized, you might subconsciously avoid it. Keep reading for 4 quick tips (and my favorite tools for each)!

1. Your Desktop

During client sessions and calls, you want to be able to reference what you need quickly and easily. The more stuff you have on your desk, the harder that is. To prevent getting flustered, keep your desktop as clear as you can, only giving a home to the most important items.

What do you use daily? What needs to be in reach for client sessions, jotting notes? What tech needs a home on your desk?

Keep it to the essentials and find the other items a home nearby or choose a place off desk that makes sense.

Two of my favorite tools for keeping the desk clear:

Multi Use Charging Station

Clear the cords and keep your devices charged while you are working or on a call. Need to focus on a project? Set this OFF of your desk so your devices do not distract you. I love that this charger uses one cord and I know where I set everything to charge.

Purchase

Under the Desk File Storage

Why is it that modern desks do not have drawers? Keep today's files off of your desk, but still within reach with this under the desk holder. Out of sight, but not out of mind.

2. Paper

Papers pile up because there's no system. Create one that matches your actual workflow, not an ideal version of yourself.

We may not need the file cabinets of the past, but we do need to store paperwork, journals, planners, and tax documents. The easier and more organized they are to put away, the better chance that you will store them properly (and be able to find them in the future!).

Bonus points if the final look of the organizers are simple and clean, and are not adding more visual clutter to your space.

extra wide plastic file folders

Extra Wide Sturdy File Folders

These extra wide hanging file folders are sturdier than the paper ones, and hold so many additional documents. I was tired overflowing files that were hard to flip through and manage. These make everything easier to find quickly.

File Storage Bins (the prettier ones)

If you don't use a file cabinet, your files need to be on the move, or you just want something a little more visually appealing, these bins are perfect. They are a softer visual, but still function well for file storage. They come in multiple colors to match your decor or branding.

3. Task Focus

I am always suggesting to my clients to post their goals and their next steps so they can see them often. What is in your line of sight while you are working, can influence your mood, productivity, and decision making.

1. Find somewhere to post your quarterly goal where you will see it regularly.

2. Grab the top 2-3 tasks on your to-do list, and put the larger list away.

3. Focus on those most important top steps.

Check your surroundings for visuals that make you feel overwhelmed or discouraged (clutter, huge to-do lists, messy notes, busy objects, shamey quotes).

Add encouraging and calming visuals instead. Choose white boards or organizers that feel simple and don't add more clutter.

note taker desk

Note Dry Erase Board

I love this dry erase board because it is small (it limits you to only the most important) and can be angled 2 ways, either for note taking or as an upright reminder. Bonus- it saves paper and the clutter of sticky notes.

desktop planner stand up goals

Weekly Desktop Goal Planner

If you tend to forget about your current goal, this is a great desktop planner. 2 great uses: 1. Document the step you will take each day to get closer to your goal. 2. Use it to track daily KPIs or progress on your goal.

What you pay attention to, grows. Keep your goals front and center.

4. Virtual Calls

Some of you have avoided it long enough. If you do any virtual client or networking sessions, it is time to upgrade your visuals. If you do not have amazing natural light in your office, then it is time to invest in some better lighting.

The other tool I recommend for your virtual calls is a platform or riser to boost your laptop, so the camera is at eye level. We have had enough of up the nose angles, and a straight forward view is more professional.

If you teach on Zoom or need to reference your notes, I suggest getting a tool to hold your notes at eye level. It is distracting when a speaker is constantly looking down or shuffling around their papers/notes. The note holders below keep you organized and focused on your message.

Have a young person around your office? Ask for some help with setup. This won't make you an influencer, but it will make you easier to see. ;)

easy ring light for office and zoom calls

Easy to use Ring Light

If you are new to ring lights, or just want an easy alternative, this little guy clips on to your phone or laptop. It includes a phone stand which is super helpful for making those videos you are avoiding. ;)

Streaming Light with Remote

This light can rotate to shine head on, or angle down for tutorial videos. The other bonus is that it comes with a remote for activating your phone. My favorite part is the stand so your phone can be eye level (and not balanced on office equipment). Click the link to see the other positions.

Monitor Riser and Storage

The reason I love this monitor stand is that it has a solid back to it, and drawers underneath. If you meet with clients in person, they won't see the clutter under your monitor (and neither will you with the drawers). It is also a classier look than the wire or metal risers.

note holder for zoom calls office

Desktop Note Holder

I use this tool for all of my online training calls. The arms fold in if you don't need both. I can keep it eye level to my screen so I am not holding my script/notes. It is lightweight so I keep a paperweight or pad of sticky notes on the bottom to keep it stable. The thing I didn't know I needed!

Just for fun

Under the Desk Foot Rest, Heater, and Massage

How amazing would this be? Not only would it be great for adjusting your leg position if you are at your desk for a long period, but that heater would be the best in the winter months. This is the office supply that I have been looking for. :)

The key to any productivity system is to make sure it fits you and your work style.

All the tools in the world won't matter if you don't use them.
